Silth’s Sanctuary is committed to protecting and respecting your privacy. We ensure any data you send us is protected, and that our website is safe for you to use.

This Policy explains when and why personal information is collected by us, how it is used, how it is kept secure, and the conditions under which we may disclose it to third parties.

This policy applies only to our website. Our website may contain links to other websites run by different organisations. We are not responsible for the privacy policies and practices of other sites, even if you access them using links from our website. We recommend that you check any privacy policies of these sites, or third party sites that link you to ours.

In this Policy, ‘you’ or ‘your’ means any user of our website, volunteers, supporters, prospective supporters, or adopters of any of our animals.

We may change this Policy, so please check on occasion to ensure you are happy with any changes. By using our website and services, you agree to be bound by this Policy.

How do we collect information:
We obtain information about you when you sign up to our mailing list, when you contact us about adoptions, relinquish an animal, volunteer, send us donations, or participate in competitions run by our charity.

We will not collect data from anyone under the age of 16 that can directly identify them without their parent or guardian’s consent. If you are aged 16 or under and wish to volunteer with us, please ask a parent or guardian to contact us.

What information is stored:

Any and all information collected is stored within specific password protected documents. These documents can only be accessed by charity trustees and senior members, and the information is removed after a specific time. Security precautions are in place to protect the loss, misuse, or alteration of your information. However we cannot guarantee the security of any information you submit to us, and you do so at your own risk.

  • For adopting we collect your full name, address, email address, and phone number from the adoption form. 

  • For relinquishing an animal we collect your full name, address, email address, and phone number from the relinquished animal form.

  • For volunteering we collect your full name, email address, and phone number from your contact details. 

  • When you sign up to our mailing list, we collect your email address. 

  • When you donate to us, we collect only the information relevant to processing the donation

  • When you participate in an online competition, we collect up to your full name, email address, phone number, and address, as applicable.

How your information is used:

Information provided to the charity will only ever be used within the specific stated contexts below:

  • If you contact us to apply with us to rehome an animal, your information will be used to assess your suitability for rehoming. These checks will include internet searches, such as using google maps, and potentially home visits. We may also use this information to contact you after you have adopted an animal from us if necessary.

  • If you contact us with the purpose of relinquishing an animal into our care, your information will be used to understand how best to care for the animal, how we might safely and permanently rehome them, and to enable us to meet any relevant legal requirements that apply.

  • If you contact us offering to volunteer, your information will be used to process your application and ascertain your suitability for the position.

  • If you sign up to our mailing list, your information will be used to send you our latest news letters and any event information.

  • If you donate to us, your information shall be used to process the donation.

  • If you enter any competitions, your information will be used to complete that specific competition.

How long is your information kept: 

We review our retention periods for personal information on a regular basis. Legal requirements mean that we will need to hold on to some information to fulfil our statutory obligations (for example the collection of Gift Aid). Your information shall only be held as long as it is necessary:

  • If you adopt an animal for us, your information will be kept for the duration of the 6 week rehoming period or until their microchip details have been transferred to your personal account (whichever happens last). Once this period has passed, we will keep the animal’s microchip details on record for the duration of their life. This is to ensure that we have a record of every animal we have cared for and, should they be returned to us, we have evidence they were within our care. This falls under our “Here for Life” policy.

  • If you relinquish an animal into our care, your information will be kept on record until the animal has been rehomed and has gone through the above mentioned rehoming process. This is to ensure we can contact you should any questions arise about the needs of the relinquished animal, or for proof of relinquishment should any legal challenges arise.

  • If you contact us offering to volunteer, your information will be kept for the duration of your volunteering contract.

  • If you sign up to our mailing list, your information will be kept until you request us to delete it.

  • If you donate to us, your information will be kept for as long as is legally required.

  • If you enter any competitions that we run, your information will be kept on record for the duration of the competition and until all prizes have been successfully delivered.

Legal basis for how we use your information:

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • You have provided consent

  • Where we have a legitimate interest to do so, and where there is no disadvantage to you or your personal information.

  • Where we have a contractual obligation and your information is required to fulfil it.

  • Where we have a legal obligation to use it or disclose it.

  • Where we have a vital interest, for example to ensure the welfare of an animal.

Who we share your information with:

The information you provide will never be released beyond Silth’s Sanctuary senior members, unless you have requested us to do so or we are required to do so by law (for example due to a court order or for the purposes of fraud and other crime prevention). 

We may pass your information on to our third party service providers, subcontractors, and other associated organisations for the purpose of completing the tasks listed above and to provide services to you on our behalf (for example processing donations and sending you mail). 

We only disclose the information that is absolutely necessary to complete these takes. We have a contract in place that requires them to keep your information secure and that your information may not be used for their own direct marketing purposes.

Your rights:

You are not required to pay any charge for exercising your right. If you make a request, we have one month to respond to you. Please contact us using the information provided earlier in the document if you wish to make a request. You have the right to:

  • Ask for a copy of the information we store about you

  • Ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Object and restrict the use of your personal data, or ask for deletion of your information. We may not be able to comply with your requests under certain circumstances (for example asking for us to delete data that contravenes with our policies relating to animals).

  • Object to the processing of your personal information in certain circumstances.

  • Make a complaint about our data processing activities. This complaint can be made with the Information Commissioner if you feel your rights have been infringed.
